Find Matching Records

Estimated Time To Read This: 2 minutes

Editing records is a very familiar task in any database application, and FileMaker Pro is certainly no exception. When editing records, you will often need to make changes to a set of records that all share common data. “Find Matching Records” is a simple, yet powerful, functionality that FileMaker offers to help you do this. Also, it can be used from the very same screen where you perform your editing.

When you are making modifications to records in your database, find a field containing data that will be common in all of the records that you would like to edit. Simply right-click (ctrl-click in OSX) on the field containing that data, and you’ll get a context menu similar to the one in Figure 1.

If you pick the option to “Find Matching Records”, FileMaker Pro will find all records that match the contents of the field you clicked on.

This is probably the simplest way to query a FileMaker database because it can be done within browse mode and it doesn’t require that you type in your query. It’s also the fastest query to have at your fingertips, and, since most of the functionality that FileMaker provides relies on a found set, it might be something that you find yourself using on a regular basis.
